Step 1
Brief Forms
One of the first tasks is to fill out your project questionnaire. It is very handy for us to have this and we can’t start until we do. At this point in time, you may already have a brief supplied to you via one of our partners or we will send it to you with your new client agreement form.
Invoices
To secure your spot in the studio you will receive your initial deposit invoice through an app called Harvest. We use this program for all our estimates, project tracking, and invoices. Once the new client agreement, initial payment, and/or remittance is received, we can then book your project into the studio and start on the next available date. *We usually book studio time at least 7-14 days in advance during busy times.
New Client Agreement
Our terms and conditions form will be sent to you either using our client management software or via email. Please read it then sign and return it to us. If you have any questions about anything we would be more than happy to answer them.
Project Timelines
Once all of the above is done and dusted you will be officially booked in. You will then receive an email in about two business days outlining the timelines and flow of your official projects.
Step 2
Task Management
To keep us on track in the studio we use a task management app called ClickUp. This is where tasks will be delegated to whoever needs to complete the item, as well as corresponding due dates.
Please note you DO NOT have to purchase or sign up to ClickUp. On the odd occasion, we would invite a client if there are multiple steps and tasks to be completed between the client and Bhive Design Co. Otherwise this is just some insight into how we do things in the studio.
Step 3
Inspiration + Supply of Content
Document any of your visual inspiration for your project using secret boards on Pinterest and inviting the Bhive Design Co. as a contributor to that board. It makes for a great brainstorming area and collaboration space to get the most out of your vision.
Use a file transferring system like wetransfer to send large files like logos or images instead of sending multiple emails.
A Dropbox link or folder is another great option we use in the studio. We prefer Dropbox over Google Drive since it is our main file storage system and it helps keep everything consistent by only having one dedicated area.
We do however recommend using Google Docs for any text or content collaborations. Acceptable alternatives are Word Docs or Apple Pages files for content distribution.
Step 4
Presentations
Video is a popular medium we like to use for showcasing presentations, explainer videos or video tutorials. Loom is a quick and easy way to capture ideas from your browser. We use it to capture internal tutorials, website training and client presentations. Clients will either receive a link or downloadable mp4 video sometime during our project process.
Step 5
Phone & Email Communication
For focus and productivity reasons, we silence our phones and only check emails twice daily.
Email responses could take 1-2 business days and if you haven’t heard from us please check back as we may not have received your email.
As for phone calls, we try to return all voice messages the following business day. Missed calls with no voice messages will be ignored.

Meetings

Depending on the purpose of the meeting, most conversations will take place over email or phone but occasionally we love to see our clients’ faces and opt for a virtual meeting using a platform called Google Meet. Clients will receive a link ahead of time with a date and time for the meeting.

We love what we do and can eat sleep and breathe design every day, but once in a while, we need to recharge our creative mojos. Please see below our hours of operation from Perth, Australia.
